This position will be based in County Hall, Chelmsford where most of the instrument stock is stored. Administration days can be worked from home.

The Opportunity

Essex County Council (ECC) operates one of the largest Music Hubs in the UK through a grant from the Arts Council and has undergone significant transformational change recently to broaden and improve its music offer to the young people of Essex. Offering opportunities for young people to perform together and progress musically is a core role of Music Hubs.

The Instrument Hire Scheme Co-ordinator will be responsible for the administration and management of the music service’s successful music hire scheme which is subsidised by a grant from the Arts Council and is one of the roles required for all the Music Hubs. This role is responsible for liaising with parents and schools to organise instrument hires and delivering to schools across the county. 

The role will operate under the tight financial constraints of the grant and traded income, responsible for providing regular data on activity relating to instrument hire.

The purpose of this job is to co-ordinate the instrument hire scheme and ensure its quality and effectiveness.

The ideal candidate will have good experience of working with databases and customer management systems, excellent customer service skills, and a basic knowledge of musical instruments.

Accountabilities

  • Ensure that the service offers an effective and efficient instrument hire scheme.
  • Effectively utilise the admin online system to manage the customer application process, stock control and database management.
  • Deliver excellent customer service and prompt response times to parents and carers engaging with the Instrument Hire service.
  • Responsible for maintaining and organising the repairs of instruments to ensure customers have access to best quality instruments.
  • Utilise instrument specific knowledge to ensure adequate care and attention of instruments ensuring that instruments are clean, safe, and fit for purpose. You will also be responsible for organising external instrument repairs and maintenance.
  • Responsible for constructively challenging others at all levels to ensure drives a continuous improvement culture and commercial awareness across music hubs.
  • Work collaboratively as part of project or process teams under the new operating model, ensuring excellent cross functional output.
  • Contribute to process change regarding policy, fees, and procedures to ensure support for the ongoing development of the instrument hire service.
  • Ensure that appropriate instrument hire data is collated to monitor interest and review different options to be more cost effective
  • Work with other music service officers to promote the instrument hire service as an integral part of the music service’s wider offer to schools, parents and pupils.
  • Specific individual and shared targets and objectives are defined annually within the performance management framework.

The Experience You Will Bring

  • Educated to GCSE level or equivalent by experience
  • A sound knowledge of Microsoft Office, Outlook, and databases.
  • Knowledge of a broad range of musical instruments including their basic upkeep.
  • A general understanding of music education and the instrumental needs of young people, schools, and parents.
  • Strong interpersonal and communication skills.
  • Highly organised, methodical, and efficient.
  • Proven ability to work within an office-based team together with excellent customer service experience.
  • An ability to be proactive and problem-solving
